Operations Executive (Full-Time)

The Role

Are you an organised, proactive, and results-driven individual with a passion for operations? If yes, Uniplural Group is currently seeking a full-time Operations Executive to join our dynamic team in Malta. This role is ideal for someone who thrives in a fast-paced environment and enjoys working collaboratively to ensure the smooth running of day-to-day operations across our service lines.

The Operations Executive will report directly to the Operations Manager and play a key role in supporting the daily operational functions of the company. This role requires a proactive, organised, and detail-oriented individual committed to ensuring service excellence and operational efficiency.

Key Responsibilities

  1. Reporting and Support
    Provide consistent support to the Operations Manager by overseeing daily operations and maintaining high standards of service delivery and performance.
  2. Correspondence Management
    Manage and respond promptly to incoming emails, phone calls, and written correspondence, ensuring professional and timely communication with all stakeholders.
  3. Data Management & Account Logging
    Accurately enter and maintain records across operational systems including client accounts, staff schedules, and service logs.
  4. Client Relations & Customer Service
    Serve as a point of contact for clients, ensuring their needs and concerns are addressed professionally and efficiently to uphold strong client relationships.
  5. Quotation Preparation
    Prepare, issue, and follow up on quotations in a timely and accurate manner, supporting business development efforts.
  6. Sales Closure & Follow-Ups
    Follow up on leads and client enquiries, with the objective of converting opportunities into confirmed sales in collaboration with the sales and service teams.
  7. Scheduling Assistance
    Assist in planning and organising staff schedules to ensure optimal resource allocation and service delivery.
  8. Administrative Duties
    Perform general administrative tasks such as filing, document handling, report preparation, and maintaining internal records.
  9. Liaison Role
    Act as a communication bridge between the head office, clients, and employees to ensure timely and effective information flow and coordination.
  10. Flexible Availability
    Be available to work flexible hours, including evenings or weekends, to meet operational demands during peak periods or emergencies.
  11. Ethical Conduct
    Uphold high standards of professionalism, confidentiality, and integrity in all tasks and interactions.
  12. Internal Communication
    Foster positive, respectful, and constructive communication within the team and across departments to promote a collaborative and supportive work environment.

Requirements

  • Proven experience in a cleaning operations department, or client-facing role
  • Excellent written and verbal communication skills
  • Strong organisational and time-management abilities
  • Proficiency in office software
  • Ability to work both independently and as part of a team
  • Flexibility to adapt to changing priorities and schedules
  • Commitment to high standards of ethical conduct and confidentiality
