The Operations Executive will report directly to the Operations Manager and play a key role in supporting the daily operational functions of the company. This role requires a proactive, organised, and detail-oriented individual committed to ensuring service excellence and operational efficiency.
Key Responsibilities
- Reporting and Support
Provide consistent support to the Operations Manager by overseeing daily operations and maintaining high standards of service delivery and performance. - Correspondence Management
Manage and respond promptly to incoming emails, phone calls, and written correspondence, ensuring professional and timely communication with all stakeholders. - Data Management & Account Logging
Accurately enter and maintain records across operational systems including client accounts, staff schedules, and service logs. - Client Relations & Customer Service
Serve as a point of contact for clients, ensuring their needs and concerns are addressed professionally and efficiently to uphold strong client relationships. - Quotation Preparation
Prepare, issue, and follow up on quotations in a timely and accurate manner, supporting business development efforts. - Sales Closure & Follow-Ups
Follow up on leads and client enquiries, with the objective of converting opportunities into confirmed sales in collaboration with the sales and service teams. - Scheduling Assistance
Assist in planning and organising staff schedules to ensure optimal resource allocation and service delivery. - Administrative Duties
Perform general administrative tasks such as filing, document handling, report preparation, and maintaining internal records. - Liaison Role
Act as a communication bridge between the head office, clients, and employees to ensure timely and effective information flow and coordination. - Flexible Availability
Be available to work flexible hours, including evenings or weekends, to meet operational demands during peak periods or emergencies. - Ethical Conduct

Requirements
- Proven experience in a cleaning operations department, or client-facing role
- Excellent written and verbal communication skills
- Strong organisational and time-management abilities
- Proficiency in office software
